There are many queries from the sophomores and the freshies on what the various portfolios are in the Club and what do they do. For those who are interested to know the portfolio better and hopefully make a difference by joining the CI Club in serving the community of Wee Kim Wee School, hope this will benefit you in understanding the post in which you are interested to run for!
1. President
You are the team leader, the captain and the papa and mama of the team. The President is responsible for everything the Club stands for and to rise with and fall with it too. The President must also oversee and spearhead projects and events for the Club and its ad-hocs. The President also sits in the Student Council, which consists of Presidents from all the school clubs, major NTU clubs and the Student Union. Within the Student Council, the President serves to discuss issues within the Council and to achieve the best possible results for the student population of NTU. A recent issue was the Triple Sharing. The President is also responsible for answering to and in working closely with the administration of NTU, namely NTU’s Student Affairs Office, WKWSCI’s Student Affairs Manager and the Assistant Chair of the school. The President also represents WKWSCI and NTU in overseas trips and school events.
2. Vice-President
The VP serves to assist the President in his work and also serves to lead the Main Committee. The VP is also responsible for the workings of the ad-hoc committees. The three ad-hoc committees, namely FOC, Paparazzi and D’nD are under his purview and he also ensures that they are functioning well. The VP is also responsible for fostering closer ties between the main committee and the ad-hoc committee. The VP also assist the President in official events and to sit in the Student Council and be the voice of WKWSCI, should the President not be available.
3. Honorary-General-Secretary
As the Hon-Gen-Sec, you are responsible for assisting the P and the VP, primarily in an administrative capacity. You are to help arrange meetings with the rest of the main committee. The Hon-Gen-Sec also sends out meeting agendas and notes down the minutes. Your role as a Hon-Gen-Sec also means that you are in-charge of all communication within the main committee and also in the renting of equipment and facilities. You should have a strong understanding of administrative matters (eg. HAS points, Constitution, etc) regarding all Club members and school activities.
4. Financial Controller
You serve as the controller of all funds and finances of the club. The Financial Controller sets the budget and control the spending of the Club. He/she also manages the accounts of the club and is responsible for its health. The Fin Con has the final say when money is involved. The Fin Con also works closely with Finance Office in ensuring that the Club practises healthy financial practices. He/she closely supervises the financial health and direction of the ad-hoc committees and advises when necessary.
5. Business Manager
Usually there are 2 personnel in this portfolio, though one will be appointed Chief. The Business Managers serve to raise funds for the club and link up with external parties to endorse the school and its events. They find free goodies so that the Club can distribute freely to the student body. Items collected by the Biz Mag will go into goodie bags that are usually given out prior to exams. Goodies like free magazines and vouchers are also distributed from time to time. As the Biz Mags of the Club it is also in their purview to supervise and keep track of how the Biz Mags of ad-hoc committees are doing.
6. Social Secretary
The Social Secretary is responsible for organising Club events for the school. He/she plans the itinerary, delegates work for the various subcommers and even the maincommers, and oversees the events. Events include Homecoming, Initiation, Awards Night etc in which the student population can come and let their hair loose.
7. Publications Secretary
The PS main role is to ensure a proper documentation of all events organised by the school and CI Club. He/she must also ensure that there is a team of photographers and videographers. The Publications Secretary also organises the photoshoot for the team, when a new committee is formed. Within his/her portfolio, the Publications Secretary must also produce at least one issue of Comma, which is a publication for all students of the Wee Kim Wee School. The Publications Secretary has also been responsible for designing the club logo, the school tees and also the blog/website of the Club.
8. Marketing-Communication Manager
The practice in the Club is to have 2 personnel take up this portfolio. The Mar-Comm is akin to promotional communication or the advertiser in the Club. You are responsible for designing, distributing and exhibiting collaterals like banners, posters and emails to promote Club activities. Your job markets the Club and related elements to the students, faculty or even NTU. Closely related to the Public & Promotional Communication division of Comm Studies, key skills will be learnt and are expected here. The Mar-Comm also ensures that this blog is working fine, together with the Publications Secretary. They are also responsible for decorating the main CI Club notice board.
9. Sports Secretary
As the Sports Secretary you are responsible for forming and preparing the various sports and recreation teams to compete for WKWSCI in the Inter-School Games and the Inter-School Recreation Games. You are also responsible for ensuring a healthy sporting lifestyle in the school, by organising various sporting events for the students to participate in. The Sports Sec also sits in the Inter School Games Committee and ensure the successful organisation of the ISG.
10. Internal Liaison Officer
In short, your job as ILO covers the liaison within the school at the ground level or student level. One of the key aspects is ensuring the welfare of the students are met. Hence sometimes this role is called Welfare Secretary. If there are areas in which are lacking in the school, it is your job to ensure that they are being corrected and also to introduce new measures that will be beneficial to the student body. ILO also organises textbook sales for seniors to sell their used textbooks to juniors who want it at affordable prizes. The ILO is also in-charge of Exam Welfare events, in which free food and beverages are available to students who study late into the night at school. The ILO is also the person responsible for F&B for all school’s events and also provide refreshments and medical aid during ISG to the school’s sports players.
11. External Liaison Officer
The ELO is the public relations officer of the Club. You serve to communicate with external organisations who may be interested in working closely with the school or to provide the school students with benefits. ELO is also responsible for inviting guests and performers to the school. A notable mention is last semester’s IPOP, in which radio deejays and a local singer were invited to the school to share the magic of the radio industry. Possible areas that can be explored further are to invite famous media players to share insights with the students.
12. Performing Arts Secretary
The Performing Arts Secretary is responsible for the entertainment segment of school events, ie bringing in artistes and performers like rock bands, choir/dance groups or other entertainment acts. He/she can also organise purely cultural events for the school community. On the technical side, the PA Sec is responsible for the logistics and workings of audio-visual equipments during events. He/she is responsible for the booking, setting up and operation of these equipments.
